Our role
Caira is used by clinics and hospitals to communicate with their patients on WhatsApp. The clinic decides what information is collected and why. Swinfy Solutions Private Limited processes that information on the clinic's instructions, in order to provide the service.
In the language of India's Digital Personal Data Protection Act, the clinic is the Data Fiduciary and Swinfy Solutions Private Limited acts as a Data Processor on its behalf. If you are a patient and want your information corrected or removed, contact your clinic first — they control it. You can also write to us and we will help.
What we process
- Your WhatsApp number — so the clinic can reply to you.
- Your name, when you give it during booking.
- Appointment details — the doctor, department, date and time you choose.
- The messages you send and receive in the conversation, so it can continue where it left off.
- Your language preference, detected from how you write.
We do not ask for medical records, diagnoses, identity documents, or payment card details through Caira.
Why we process it
- To book, change and cancel your appointments.
- To send you reminders and confirmations about those appointments.
- To answer questions about the clinic — timings, fees, departments, directions.
- To ask, after a visit, how it went.
Who it is shared with
- Your clinic — they see your bookings and your conversation.
- WhatsApp / Meta — messages travel over the WhatsApp Business Platform, under Meta's own terms.
- Service providers we use to run Caira, such as hosting and database providers, bound to process data only for us.
We do not sell your information, and we do not use it for advertising.
How long we keep it
We keep your conversation and appointment records for as long as the clinic uses Caira and needs them for its own record-keeping. When a clinic stops using Caira, we delete or return their data within a reasonable period, unless the law requires us to keep it longer.
Security
Data is encrypted in transit. Access is restricted to the people who need it to run the service. Each clinic's data is separated so one clinic can never see another's.
Your rights
You can ask to see the information held about you, to have it corrected, or to have it deleted. You can also ask the clinic to stop messaging you — reply STOP in the chat at any time and Caira will stop sending you messages.
Children
Caira is meant to be used by adults. Where an appointment is for a child, we expect a parent or guardian to be the one messaging.
Changes
If we change this policy we will update the date at the top of this page.
